Financial Analysis Spreadsheet Template The financial analysis spreadsheet calculates the various financial benefits and value of your project. It provides the necessary information to guide you in estimating costs. Request for Proposal (RFP) Template The RFP is a formal document soliciting proposals from selected vendors. Included in this document is a description, usually detailed, of the project. Also specified is the format that the vendor proposal must follow, which allows the requestor to compare one vendors response to anothers. An RFP template varies from company to company. Statement of Work (SOW) Template The SOW is a formal, signed document, which describes the project needs and the solution. The following sections may be included in the SOW: Executive summary, which summarizes the project at a high level. Project scope (including assumptions). Solution (approach to take). Roles and responsibilities of each individual (and/or company) on the project team. Closeout criteria (agreed-to deliverables, which define when project is complete). Pricing (project costs may be a separate document). Discovery Template The discovery template is a document used by the project team when a client requests the team to perform a discovery of the clients current business environment and explore future intended business state. As the template name implies, it is an exploratory document. It should contain a road map of the technology used, processes, resources used, anticipated growth, and direction to take. This template requires some innovative input. Project Charter Template The project charter is a high-level document generated by the project manager to provide an overview of the project and to inform senior stakeholders and sponsor of the project initiative. Project Roles and Responsibilities Template Project managers use the roles and responsibilities template to illustrate the various roles to be played on the project. It specifies the responsibilities of each member of the project team. Without this template, communication would be difficult because project team members would be unsure of task responsibility on the project. Project Issue List/Log Template The project issue list or log is a document that identifies all issues requiring resolution. Each issue is categorized with degree of severity and priority and/or date for resolution. If the issue is deemed a risk to the successful and timely completion of the project, it is transferred from the issue list to the risk list. Project Risk List/Log Template The project risk list or log is a document used to identify all conditions or events that may endanger the projects timely and successful completion. Each condition is labeled with a degree of severity and probability of occurrence. Actions to mitigate the risk should be included. Project Management Plan (PMP) Template The PMP is similar to a project definition report (PDR). The PMP is one of the most important documents in any project managers template toolkit and needs to be completed as quickly as possible. It defines the project scope, objectives, interfaces, resources, budget, and schedule. The PMP document can also consist of appendixes containing data on related topics, such as communication and quality assurance. Project Definition Report (PDR) Template The PDR is a formal document generated at the project definition workshop (PDW), which usually includes the project sponsor, the project team, and the immediate stakeholders of the project. The aim of the PDR is to clarify and define the purpose, scope, and final objectives of the project. It serves to introduce the team to the stakeholders as well as generate commitment from all. Additionally, the document must contain a clear description of the domain of the project, the problems to be solved, and the final goals to be achieved. Terms of Reference (TOR) Template The TOR documents the rules that project participants must follow. This document includes the vision, mission roles and responsibilities, project goals, budget, project control and QA processes, and escalation procedures, among other factors. It is prepared specifically to describe goals, activities, and scope of work to be undertaken. It should also provide an outline for the business plan, prototype site, evaluation, and readiness. The TOR should usually be limited to 10 to 15 pages. Business Case Template The business case is an important document used to address not only the effect of investments but also the processes that ensure that capital spent on projects brings an exceptional, risk-adjusted return. The goal of the business case is to define the opportunity and reasons that management may accept the undertaking of a systems development or enhancement project. These business case objectives and descriptions, therefore, provide the basis for the business assessment. This document is a key decision-making document for not only the company executives, but also investors and other important stakeholders. Additionally, many top executives that read business cases today demand substantially more than cut-and-paste work.
