Templates have been cross-referenced against available methodology standards used in the organization. Resources have been identified to complete the templates. Templates are accessible for use. Templates are available in hardcopy format.

Format of Project Templates

Project templates should be provided in a standard electronic format. Many companies use the most common word processing or spreadsheet packages, such as MS Word or MS Excel. The formatting of the templates usually undergoes a series of editing checks and technical reviews before distribution. Text sufficient to guide the user should be included on each project template. The PMO should also maintain and publish a separate master record index with a complete list of all project templates in circulation in the company. The master record index should contain the following information:

The project template name. Current revision number. Date issued for use.

Lessons Learned

As a new project manager for a client, I was responsible for developing certain project documents. From previous experience, I knew that these templates were available online at a specific Web site; I was not fully aware that the templates came at a price. Because I didnt want to recreate anything already available, I obtained approval to purchase these templates, which took too long. The lesson learned: Identify and secure the necessary templates well ahead of time.
